A well-established automotive service company in Visalia is seeking a reliable and detail-oriented Office Administrator to support daily operations in a fast-paced environment. This entry-level role is ideal for someone who is organized, eager to learn, and comfortable handling a variety of administrative tasks that keep the office and shop running smoothly.

Key Responsibilities

  • Perform daily and weekly reconciliations, including receipts, invoices, and payment records.

  • Manage parts vendors, including placing orders, tracking deliveries, maintaining pricing, and resolving discrepancies.

  • Maintain accurate records of parts inventory and assist with restocking needs.

  • Support front-office operations such as answering phones, greeting customers, and scheduling appointments.

  • Assist with data entry, filing, scanning, and maintaining organized digital and physical records.

  • Prepare basic reports, spreadsheets, and documentation as needed.

  • Process incoming and outgoing mail, invoices, and statements.

  • Coordinate with technicians and management to ensure smooth workflow and communication.

  • Provide general administrative support to the office and shop team.

Qualifications

  • Previous office or administrative experience preferred but not required.

  • Strong attention to detail and accuracy, especially with numbers and recordkeeping.

  • Comfortable working with vendors and managing parts-related communication.

  • Basic computer skills, including Microsoft Office or Google Workspace.

  • Excellent communication and customer service skills.

  • Ability to multitask and stay organized in a busy environment.

  • Willingness to learn automotive terminology and parts processes.
