Seeking a highly organized and detail-oriented Office Assistant to support a small, family-owned construction company. This role is ideal for someone who enjoys variety in their day, excels at multitasking, and takes pride in providing excellent customer service.

Key Responsibilities:

 

  • Answering and managing incoming phone calls with a strong, pleasant, and professional demeanor
  • Handling emails and maintaining clear, timely communication
  • Learning and utilizing FieldPulse CRM for lead management, scheduling, and job tracking
  • Scheduling appointments and jobs based on location and availability
  • Billing and logging client payments accurately
  • Data entry and record maintenance
  • Filing and organizing office documents
  • Managing calendars and organizing leads
  • Corresponding with vendors and field laborers
  • Processing, editing, and gathering information to execute correspondence as directed by upper management
  • Providing excellent customer service while handling various personality types

 

Qualifications:

 

  • Previous office assistant experience is required
  • Proficiency in Windows, Excel, Word, and email platforms
  • Ability to quickly learn and adapt to new software programs
  • Experience using office phones, cell phones, and printers
  • Strong customer service skills and professional telephone etiquette
  • Excellent written and verbal communication skills
  • Highly organized with strong attention to detail
  • Ability to prioritize tasks and multitask efficiently
  • Self-starter who can work independently and be resourceful
  • Positive, upbeat attitude with flexibility to adapt to changing needs
  • Strong commitment to accuracy
  • Ability to handle multiple responsibilities simultaneously
  • Willingness to learn and follow company phone scripts and procedures
  • References required prior to hiring
