Installation Administrative Assistant

Position Summary

The Installation Administrative Assistant provides administrative, scheduling, and coordination support to installation and project management teams. This entry-level administrative role focuses on documentation, data entry, scheduling assistance, and communication to support the successful execution of installation projects.

This position does not require independent estimating or advanced project management experience and is ideal for candidates seeking growth into project coordination, operations support, or installation management roles.


Key Responsibilities & Essential Duties

The essential functions include, but are not limited to:

  • Assist with installation scheduling by coordinating calendars, confirming project dates, and updating schedules as directed

  • Provide administrative support to installation teams, project managers, and both in-house and third-party installers

  • Enter, update, and maintain installation and project data within internal systems, spreadsheets, and project management tools

  • Prepare and distribute basic installation documentation, including job summaries, work orders, and schedule confirmations

  • Support the estimating process by compiling labor hours, materials lists, and vendor information (no independent estimating required)

  • Communicate with installers, vendors, and internal teams via phone, email, and Slack to confirm schedules, requirements, and project updates

  • Track, document, and report schedule changes, delays, or issues to the Installation Coordinator or Manager

  • Organize and maintain project files, drawings, installation records, and documentation

  • Provide general office and administrative support, including filing, data entry, reporting, and document preparation

  • Perform other related administrative and coordination duties as assigned

  • Adhere to all company policies, procedures, and codes of conduct


Required Skills & Abilities

  • Basic written and verbal communication skills

  • Strong organizational skills with high attention to detail

  • Ability to manage multiple tasks, prioritize workload, and meet deadlines in a fast-paced environment

  • Customer-service mindset with a professional, positive attitude

  • Proficiency with Google Workspace (Docs, Sheets, Calendar, Email)

  • Willingness to learn installation processes, project coordination, and operations workflows

  • Ability to work effectively as part of a team with guidance and direction

  • Dependable, punctual, and adaptable to changing priorities

  • Ability to work occasional overtime as business needs require


Education & Experience

  • High School Diploma or GED required

  • Associate’s Degree in Business, Administration, or a related field preferred but not required

  • 1–2 years of administrative, office support, or coordination experience preferred

  • Prior experience in construction, installation, manufacturing, or operations support is a plus but not required
