Our Napa client is looking for a detail-oriented, organized Administrative Assistant to support their team during the busy tax season. This is a seasonal position ideal for someone who thrives in a fast-paced environment and can handle confidential information with professionalism.
Responsibilities
• Greet clients and manage check-ins during appointments
• Answer phones, schedule appointments, and manage the office calendar
• Organize and prepare client tax documents for review
• Scan, file, and maintain digital and physical records
• Assist tax preparers with administrative tasks and follow-up requests
• Handle data entry with accuracy and attention to detail
• Ensure all documents are complete before submission
• Provide general office support to keep workflow running smoothly
Requirements
• Strong organizational and multitasking skills
• Excellent communication and customer service abilities
• Proficiency with office software (email, scheduling tools, scanning systems)
• Ability to maintain confidentiality and handle sensitive financial information
• Comfortable working under deadlines and high volume
• Previous administrative or tax office experience is a plus but not required

chedule & Duration
• Seasonal position (typically January–April)
• Full-time or part-time hours depending on office needs
• Some evenings or weekends may be required during peak weeks
