Essential Responsibilities
Client / Tenant Services & Daily Operations
• Manage professional, accurate tenant communications
• Act as liaison between tenants and vendors
• Track and follow up on daily work orders
• Assist with vendor coordination and project oversight
• Maintain vendor and contractor relationships; assist with sourcing new vendors
• Support property managers and brokers with special projects
• Coordinate tenant move-ins and move-outs, including security deposit processing
• Order, track, and maintain building supply inventory
• Coordinate and track annual property maintenance
• Manage service contracts and RFPs
• Participate in on-call rotations for occasional evenings or weekends
• Stand in for the Real Estate Manager when needed
• Communicate with clients as directed
Administrative & Financial
• Maintain compliant certificates of insurance
• Keep contract and lease files accurate and up to date
• Complete leasing paperwork and process tenant move-ins/outs
• Show units (if licensed) and manage leasing inquiries
• Code accounts payable invoices and track accounts receivable
• Support annual operating expense reconciliations
• Assist with annual budgeting
• Contribute to monthly ownership reporting and property performance summaries
Qualifications - MUST HAVE RECENT EXPERIENCE
Education & Experience
• High school diploma required
• 3+ years of strong administrative experience
• 2+ years of RECENT residential property management experience required
• Leasing experience preferred
Skills & Abilities
• Excellent customer service skills
• Strong organization, initiative, and ability to work independently
• Ability to thrive in a fast-paced environment with high tenant volume
• Strong written and verbal communication skills
• Ability to present information to small groups
• Flexibility to work after-hours or on-call as needed
• Proficiency with Microsoft Word, Excel, and Outlook
• Experience with AppFolio or similar property management software strongly preferred
• Valid driver’s license with a clean driving record
