Express Employment Professionals in Laguna Hills is recruiting an Operations Specialist to help coordinate in-house services as well as services provided by vendors and contractors at a large senior living facility in Laguna Woods.

 

Service Line: Evaluation to Hire, Full-time

Pay: $20.00 - $23.00 /Hr.

Schedule: M-F 8:00 AM-5:00 PM

Responsibility:

• Coordinate and schedule appointments for supervisors and coordinators
• Assist with scheduling and tracking union staff, inspectors, and contractors
• Process work orders for outside contractor projects
• Maintain records of inspections, work orders, and contractor completions
• Review, code, and compile vendor/contractor invoices for approval
• Prepare documentation for public agency permits
• Conduct site visits to observe and report property conditions
• Gather and verify materials for reports, forms, and summaries
• Prepare requisitions for contractor services, materials, and equipment
• Take notes and transcribe letters, reports, and memorandums
• Draft and type standardized correspondence and documents
• Maintain office files and update data records
• Compile and compute information for reports
• Prepare and maintain fiscal, operating, and other records
• Provide information to the public on rules, regulations, and department activities
• Assist with preparation and distribution of agendas and meeting materials
• Take notes, transcribe, and distribute meeting minutes

Requirements:

• Familiar with occupational hazards and safety precautions of the job.
• Proficient in PC and applicable software programs.
• Knowledge of secretarial practices and procedures.
• Basic understanding of maintenance and construction practices and procedures.
• Communicate effectively with various levels of management and the public.
• Prepare routine reports and answer questions from records.
• Read, understand, interpret, and explain rules and regulations.
• Take notes and transcribe rapidly and accurately
• Relate to the needs and concerns of senior citizens.
• Maintain effective working relationships with co-workers, the public, and to deal with public relations problems courteously and tactfully.
