Office Manager Construction

Position Summary

We are seeking an organized and proactive Office Manager with a background in the Construction Industry. This role is the "hub" of the office, responsible for keeping administrative operations running smoothly while providing essential support to project managers and field staff. The ideal candidate is a multitasker who is comfortable answering high-volume calls and understands the unique terminology and pace of a construction environment.

Key Responsibilities

  • Office Administration: Manage daily office operations, including mail, supplies, and filing systems.

  • Communication: Serve as the first point of contact; answer and route phone calls, respond to emails, and greet visitors/subcontractors.

  • Construction Support: Assist with project-related paperwork, which may include:

    • Processing submittals or Change Orders.

    • Coordinating with vendors and subcontractors.

    • Maintaining insurance certificates and safety documentation.

  • Data Entry: Maintain accurate records in the company’s internal system or accounting software.

  • Problem Solving: Act as a liaison between the field team and the front office to resolve scheduling or documentation issues.

Required Qualifications

  • Industry Experience: Minimum 1–2 years of experience working in Construction, HVAC, Plumbing, or General Contracting is highly preferred.

  • Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with construction software (like Procore or Sage) is a major plus.

  • Communication: Professional phone etiquette and the ability to communicate clearly with diverse teams (from owners to laborers).

  • Reliability: Strong attendance record and a commitment to a consistent Monday-Friday schedule.
