The Office Manager is responsible for overseeing daily office operations to ensure excellent customer service and accurate tracking of seed inventory, labor, and shipping activities. This role also serves as the main HR and payroll contact between employees and corporate. The Office Manager ensures all tasks are completed efficiently while following company safety policies to maintain a safe and productive work environment.

Welcome and assist visitors to the nursery.

Prepare, process, and monitor plant orders for the facility.

Track vegetative trailers and dollies using Google Sheets.

Manage assigned key customer accounts to build long-term relationships.

Provide pricing quotes, process orders, and make adjustments as needed.

Update customers on order status, including germination, growth, and any concerns.

Support sales growth through inside sales efforts and coordination with outside sales teams.

Maintain accurate customer records, agreements, waivers, and handle customer claims for approval.

Collect customer payments, document transactions, follow up on outstanding balances, and communicate updates to Accounts Receivable.

Oversee seed inventory receiving and distribution.

Coordinate daily shipping operations, including order fulfillment, documentation, and timely delivery.

Work with carriers to plan efficient and cost-effective shipping routes.

Close shipped work orders in the system.

Create purchase requisitions, receive items in the ERP system, and process shipping paperwork.

Assist with end-of-month inventory counts, budgeting, and expense forecasting.

Establish and maintain office procedures and policies.

Track employee time and attendance.

Act as the local HR contact, prepare payroll reports, and support HR functions.

Manage petty cash.

Organize and participate in facility safety meetings.

Enforce safety rules and promote safe work practices.

Lead by example, working alongside team members and fostering a positive work culture.

Ensure projects are completed safely, efficiently, and to quality standards.

Promote teamwork and collaboration among staff.

High school diploma or equivalent with at least three years of related experience, or a comparable combination of education and experience.

Minimum of two years of office management experience.

Accounting and budgeting experience.

Proficiency in Microsoft Office.

Strong attention to detail and accuracy.

Ability to work in a fast-paced environment and manage multiple projects.

Strong communication skills, self-motivated, and goal-oriented.

Valid driver’s license, clean background, and drug-free status.

Physically able to work in greenhouse environments for extended periods.

Demonstrates high ethical standards and leadership by example.

First aid/CPR certification or willingness to obtain one.

Willingness to travel as needed.

General knowledge of greenhouse operations, quality, and productivity preferred.

Strong interpersonal and teamwork skills.

Manufacturing or operational aptitude.

Flexible schedule, including weekends when necessary.

Ability to work indoors, outdoors, warehouses, and greenhouses year-round.

Capable of lifting up to 40 pounds and standing for long periods.

Self-directed with minimal supervision.

Strong multitasking and problem-solving skills.

Able to adapt to changing conditions and tolerate greenhouse elements such as heat, cold, water, and dirt.
