Accounts Payable Specialist

Job Summary
The Accounts Payable Specialist is responsible for managing the full cycle of accounts payable functions, ensuring accurate and timely processing of invoices, payments, and vendor records. This role works closely with internal departments and external vendors to maintain strong relationships while supporting accurate financial reporting and compliance.

Key Responsibilities

• Process high-volume vendor invoices with accuracy and efficiency

• Match invoices to purchase orders and receiving documents

• Verify coding, approvals, and compliance with company policies

• Prepare and process weekly/monthly check runs, ACH, and wire payments

• Reconcile vendor statements and resolve discrepancies promptly

• Maintain accurate vendor files and W-9 documentation

• Respond to vendor inquiries in a professional and timely manner

• Assist with month-end close and account reconciliations

• Ensure compliance with internal controls and accounting standards

• Support audits by providing documentation and explanations as needed

Qualifications

• Associate’s degree in Accounting, Finance, or related field preferred

• 2+ years of accounts payable or general accounting experience

• Strong understanding of AP processes and best practices

• Experience with accounting software (QuickBooks, SAP, Oracle, NetSuite, or similar)

• Proficient in Microsoft Excel and other Microsoft Office applications

• Excellent attention to detail and organizational skills

• Ability to manage multiple priorities and meet deadlines
