Employment Type: Full-time, 40 hours per week (Monday–Friday, flexible hours; required office presence Tue–Fri 10am–4pm)

About the Role
We are a small non-profit organization seeking a reliable, detail-oriented Office Manager/Bookkeeper to join our team. This is a unique opportunity to work independently in a rustic ranch environment while managing a wide range of administrative and financial responsibilities. You will be the only person in the office most of the time, but will have support from the board and occasional front office assistance during the busy season (June–November).
This role requires strong bookkeeping skills, proficiency in QuickBooks Online, and the ability to manage both accrual and cash basis accounting. You will also handle customer service, collections, deposits, and monthly financial reporting to the board.
Key Responsibilities
• Perform bookkeeping tasks including accounts payable, accounts receivable, deposits, and collections backlog.
• Review monthly financials, generate reports, and present them to the board.
• Process deeds (training provided).
• Manage email and file organization using Outlook; respond promptly to 20–50 daily emails.
• Handle file management and maintain organized records.
• Request work orders and order office supplies as needed.
• Attend monthly Saturday board meetings (3 hours) without exceeding 40 weekly hours.
• Handle walk-ins and provide excellent customer service.
• Maintain confidentiality and follow established bookkeeping procedures for at least 30 days before suggesting changes.
• Create visually appealing financial reports using Excel; Canva, Adobe, or DocuSign experience is a plus.
• Use Zoom regularly for communication and meetings.
• Stay organized, self-directed, and accountable while working independently.
• Avoid gossip/drama and maintain professionalism at all times.
Required Qualifications
• Non-negotiable: Proficiency in QuickBooks Online.
• Strong knowledge of bookkeeping, accounts payable/receivable, and financial reporting.
• Experience with both accrual and cash basis accounting.
• Proficiency in Microsoft Excel.
• Attention to detail and strong organizational skills.
• Ability to ask questions rather than make mistakes; quick learner.
• Customer service experience.
• Email management and Outlook proficiency (including folder organization).
• File management experience.
Preferred Skills
• Experience with Canva, Adobe, or DocuSign.
• Creativity in designing professional, visually appealing reports.
• Collections experience.
