Tax Season Front Office Coordinator (evaluation to permanent hire)

We are seeking an experienced, customer-focused Front Office Coordinator to support our office during the upcoming tax season. This role is a key point of contact for clients and plays an important part in keeping daily operations organized, responsive, and professional during our busiest time of year.

This position is ideal for someone who is confident on the phone, polished in face-to-face interactions, highly organized, and comfortable working in client management systems and tax-related software, including TaxDome.

What You’ll Do

The Front Office Coordinator will handle a wide range of administrative and client-facing responsibilities, including:

• Answering a high volume of incoming phone calls and providing excellent customer service
• Scheduling and managing appointments 
• Assisting clients in person and over the phone with professionalism and warmth
• Processing incoming mail by scanning, saving to the appropriate client file, and electronically distributing documents to the correct representative
• Supporting clients with the client portal, including document uploads and navigation
• Managing document intake and ensuring files are complete and properly recorded
• Assisting clients with picking up completed tax returns
• Collecting payments and ensuring accurate documentation
• Updating the client management system with client changes and notes
• Supporting office communications, client events, and general correspondence
• Performing other clerical and administrative duties as assigned

What We’re Looking For

• Prior front office, administrative, or client service experience (tax, accounting, or professional services experience is strongly preferred)
• Strong aptitude for client management systems and software; experience with TaxDome is a plus
• Excellent phone presence and in-person customer service skills
• Professional written communication skills for emails, messages, and internal notes
• High attention to detail, organization, and follow-through
• Ability to manage multiple tasks in a fast-paced, deadline-driven environment
• Comfortable handling confidential client information with discretion

Schedule & Duration

• Start date: Second week of January
• Schedule: 12:00 PM – 5:30 PM (with the potential to extend until 6:00 PM as needed)
• Hours: Approximately 25–40 hours per week, depending on workload
• This is a seasonal role through tax season, with the potential for a full-time offer after tax season based on business needs and performance

Compensation

• $19.50 per hour
