Office Coordinator Job Summary: 

A West Michigan service company that partners with many of your favorite quick-service restaurant and retail brands is seeking an Office Coordinator to join their team. This company specializes in installing and maintaining drive-thru and audio systems used by major names in the industry. They are a close-knit, family-oriented team that values reliability, communication, and a strong work ethic.

The Office Coordinator will play a key role in scheduling, dispatching service technicians, processing invoices, and maintaining preventative maintenance schedules. This position requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Office Coordinator Responsibilities:

  • Management of daily service schedules and technician dispatch
  • Coordination of preventative maintenance appointments and tracking of ongoing maintenance schedules
  • Preparation and submission of invoices for completed work
  • Communication with customers to troubleshoot issues over the phone
  • Updating and maintaining internal databases and facility software
  • Creation and updating of Excel spreadsheets for scheduling and reporting
  • Coordination with third-party installers and vendors as needed
  • Scheduling jobs for the following day and communicating plans to technicians each afternoon

Schedule & Pay:

  • Monday through Friday, 8am-5pm
  • $20.00/HR

Office Coordinator Qualifications:

  • Previous administrative, scheduling, and/or dispatching experience required
  • Strong computer proficiency, including Microsoft Excel
  • Excellent communication and problem-solving skills
  • Ability to multitask, stay organized, and work independently
  • Comfortable troubleshooting customer concerns over the phone
  • Experience using business or facility management software is a plus
