The Accounting Assistant supports the financial operations of the HOA management company by performing routine accounting tasks, maintaining accurate records, and assisting with financial reporting. This role ensures timely and accurate processing of transactions for multiple homeowner associations, contributing to smooth financial management and compliance.

Key Responsibilities:

  • Accounts Payable & Receivable:
    • Process vendor invoices, verify accuracy, and ensure timely payments.
    • Record homeowner payments and reconcile accounts.
  • Bank Reconciliation:
    • Assist in reconciling HOA bank accounts monthly.
    • Identify and resolve discrepancies promptly.
  • Financial Reporting:
    • Prepare and distribute monthly financial statements to HOA boards.
    • Assist with budget preparation and year-end reporting.
  • Data Entry & Record Keeping:
  • Maintain accurate accounting records in the management software.
  • Ensure proper documentation for audits and compliance.
  • Communication & Support:
    • Respond to homeowner and vendor inquiries regarding account balances and payments.
    • Collaborate with property managers and board members on financial matters.

 

Qualifications:

  • Education: Associate degree in Accounting, Finance, or related field (bachelor’s preferred).
  • Experience: 1–2 years of accounting or bookkeeping experience; HOA or property management experience is a plus.
  • Skills:
    • Proficiency in accounting software (e.g., QuickBooks, AppFolio, or similar).
    • Strong attention to detail and organizational skills.
    • Excellent communication and customer service abilities.
    • Ability to manage multiple accounts and deadlines.
