Essential Responsibilities

Client / Tenant Services & Daily Operations

  • Manage professional, accurate tenant communications

  • Act as liaison between tenants and vendors

  • Track and follow up on daily work orders

  • Assist with vendor coordination and project oversight

  • Maintain strong vendor/contractor relationships and help source new vendors

  • Support property managers and brokers with special projects

  • Coordinate tenant move-ins/outs and security deposit processes

  • Order, track, and maintain building supply inventory

  • Coordinate and track annual property maintenance

  • Manage service contracts and RFPs

  • Participate in on-call rotations for occasional evenings or weekends

  • Stand in for the Real Estate Manager when needed

  • Communicate with clients as directed

Administrative & Financial

  • Maintain compliant certificates of insurance

  • Keep contract and lease files accurate and up to date

  • Complete leasing paperwork and process tenant move-ins/outs

  • Show units (if licensed) and manage leasing inquiries

  • Code AP invoices and track AR

  • Support annual operating expense reconciliation

  • Assist with annual budgeting

  • Contribute to monthly ownership reporting, including property performance summaries


Qualifications

Education & Experience

  • High school diploma required

  • 3+ years strong administrative experience

  • 2+ years residential property management experience required

  • Leasing experience preferred

Skills & Abilities

  • Excellent customer service

  • Strong organization, initiative, and independence

  • Ability to thrive in a fast-paced environment with high tenant volume

  • Strong written and verbal communication

  • Ability to present information to small groups

  • Ability to work flexible or after-hours when needed

  • Proficient with Microsoft Word, Excel, Outlook

  • Experience with AppFolio or similar property management software strongly preferred

  • Valid driver’s license with clean driving record
