Administrative Services Manager (Hybrid)

What You’ll Do

You’ll be the go-to person for office operations, administration, and technology support. A typical week may include:

  • Supporting leadership with day-to-day operations and communication.

  • Overseeing client onboarding — sending welcome letters, preparing agreements, and making sure new clients have a smooth start.

  • Partnering with HR to help allocate workloads, coordinate assignments, and assist with onboarding new hires.

  • Identifying ways to improve workflows, automate administrative processes, and help the team work smarter.

  • Managing time and attendance: reviewing time entries, approving timecards, and flagging any issues.

  • Coordinating with Accounting on invoices, payroll, and payments.

  • Handling vendor relationships, renewals, and invoice processing.

  • Managing office facilities, equipment, security, and general workspace needs.

  • Serving as the main point of contact for technology — from equipment purchases to working with IT and VOIP providers.

  • Taking care of core office tasks like ordering supplies, handling mail, maintaining contact lists, and making deposits.

  • Reviewing and approving expense reports.

  • Answering and routing calls, greeting visitors, and being a welcoming face for the team.

  • Keeping digital and hardcopy files organized and easy to find.

  • Attending meetings to take minutes and sending out summaries.

  • Assisting with website updates, CRM and Kajabi tasks, and social media content support.

  • Coordinating meeting locations, event registrations, and catering when needed.

  • Supporting HR with benefits, document management, and celebrating team birthdays and anniversaries.

  • Answering employee questions and helping guide them through policies and procedures.


What You Bring

  • 5+ years of experience in office administration.

  • Strong communication skills — both written and verbal.

  • High attention to detail and the ability to stay organized even when juggling multiple priorities.

  • Comfort working independently and taking initiative.

  • A love for technology and improving systems.

  • Ability to stay calm and effective under pressure.

  • Solid problem-solving skills and a proactive mindset.

Your Technical Toolkit

You’ll thrive here if you’re strong in:

  • Microsoft Office Suite & advanced MS Teams (automations, workflows, templates, etc.)

  • AdobeSign & AdobePro

  • CRM systems (Kajabi)

  • Zapier

  • LastPass

  • Better Proposals (or similar proposal software)

  • General file management systems

Basic knowledge of payroll and exposure to HR responsibilities is a plus.


Education

  • Associate’s degree in Business or a related field, or equivalent experience.
