We are looking for a versatile and professional Office Administrator who is comfortable wearing many hats and supporting a wide range of operational needs. The Office Administrator will play a key role in keeping our office running smoothly. This position involves administrative support, office coordination, customer service, scheduling, billing, and other essential tasks that support the daily operations of our business. We are seeking someone who is organized, adaptable, analytical, and capable of managing multiple responsibilities with professionalism and confidence.
Manage daily office operations, including scheduling, emails, phone calls, and general coordination
Handle in-house billing, invoicing, payment tracking, and basic accounting tasks
Maintain and update spreadsheets, logs, and reports using Excel and Microsoft Office
Provide excellent customer service to homeowners, subcontractors, suppliers, and other partners
Support project scheduling and help ensure smooth communication between field and office teams
Assist with purchasing, order tracking, and vendor communication as needed
Take on new tasks or responsibilities as the business grows or operational needs arise
Maintain organized office systems and ensure efficient workflow across various processes
Strong proficiency in Excel and general Microsoft Office applications
Excellent written and verbal communication and customer service skills
Strong math, analytical, and problem-solving abilities
Experience with billing, invoicing, and basic accounting functions
Ability to manage scheduling, emails, and general administrative tasks
Comfortable working with homeowners, subcontractors, and suppliers
Highly organized, reliable, and self-motivated
Ability to adapt to new responsibilities and jump in wherever needed
