Job Description: Site Management & DRC/ARC Compliance Specialist (HOA Focus)
General Summary:
This individual will be responsible for the physical site management of “common maintenance areas” for homeowner association (HOA) clients. The role also includes managing Design Review Committee (DRC) or Architectural Review Committee (ARC) compliance inspections related to home construction projects for specific clients (2 projects). This is an individual contributor position and does not involve managing other employees.
Applicants should display a positive and proactive attitude, strong organizational skills, the ability to prioritize and multitask, and be a strong communicator, both in writing and over the phone. The role requires frequent interaction with varying individuals including HOA Boards, owners, vendors, service providers, and contractors.
Key Job Responsibilities:
- Manage building systems, equipment, and infrastructure, as applicable, for the maintenance and repair of HOA common maintenance areas.
- Monitor expenses against approved HOA annual operating budgets and/or approved project budgets.
- Prepare scopes of work, secure quotes/bids for services and projects, and present recommendations to HOA Boards or authorized decision makers. Complete the contracting process for approved services/projects.
- Manage all contracted service providers and contractors to assure services are delivered and projects are completed per the agreed scope of work. Process and approve invoices for payment.
- Prepare a written Maintenance and Operations report for HOA Board meetings (three are quarterly; one less frequent). Attend board meetings to present reports and respond to questions/direction. Implement HOA Board decisions and direction regarding common maintenance areas.
- Be familiar with HOA rules/policies; assist HOA Boards with compliance as requested, being responsive to a variety of visions and cultures for rule enforcement for each client.
- Be available and responsive to HOA owner questions, requests, and concerns as they relate to common maintenance areas.
- Conduct weekly onsite inspections of common maintenance areas.
- Conduct all activities with the highest standards of professionalism and confidentiality.
Requirements and Qualifications:
- Must be responsible and self-managed, with excellent follow-up and tracking skills.
- Minimum of 3+ years of experience in construction and maintenance is required.
- Strong attention to detail and the ability to manage multiple projects simultaneously.
- Proficiency in the MS Office Suite: Word, Outlook, and Excel.
- Familiarity and ability to use hand and power tools from time to time.
- Ability to effectively build and present reports to HOA boards.
- Good communication and follow-up skills.
- Maintain own reliable transportation.
- Familiarity with homeowner association governing documents and management is a plus.
Schedule and Compensation:
- Pay rate is $40 per hour.
- Schedule will vary; expected to be approximately 30 hours per week, with on-call hours as needed.
- Overtime (OT) will be paid at 1.5x the regular pay rate for any hours worked beyond 40 hours in a single week.
