The Front Office Associate is responsible for delivering exceptional guest service at the front desk. This role includes greeting guests, performing check-in and check-out procedures, managing reservations, handling guest inquiries, and ensuring a smooth and welcoming arrival and departure experience. The position requires strong customer service skills, professionalism, and the ability to work efficiently in a fast-paced environment.


Key Responsibilities

Guest Services

  • Welcome guests warmly upon arrival and provide a friendly, efficient check-in and check-out process.

  • Respond to guest requests, questions, and concerns promptly and professionally.

  • Provide information about hotel amenities, local attractions, transportation options, and dining.

  • Resolve guest issues or escalate them to the appropriate manager when necessary.

  • Deliver consistently high levels of service aligned with the Holiday Inn brand standards.

Reservations & Front Desk Operations

  • Manage room assignments and reservations using the hotel’s Property Management System (PMS).

  • Verify billing details and process payments accurately.

  • Handle phone calls, messages, and emails in a courteous and professional manner.

  • Maintain accurate guest records, logs, and reports.

  • Balance and reconcile cash drawers or shift reports when required.

Brand Standards & Safety

  • Adhere to all IHG / Holiday Inn brand service standards and operational procedures.

  • Maintain a clean, organized, and professional front desk and lobby area.

  • Follow safety and security protocols, including identity verification and emergency procedures.

  • Protect guest privacy and maintain confidentiality of personal and financial information.


Qualifications & Skills

Required

  • High school diploma or equivalent.

  • Previous customer service or hospitality experience preferred.

  • Strong verbal communication and interpersonal skills.

  • Ability to multitask and remain calm in busy or challenging situations.

  • Basic computer skills; familiarity with PMS systems is a plus.

  • Availability to work flexible hours, including evenings, weekends, and holidays.

Preferred

  • Experience in a branded hotel environment (IHG experience a plus).

  • Cash-handling experience.

  • Knowledge of local area attractions and services.


Physical Requirements

  • Ability to stand for extended periods.

  • Occasionally lift or move items up to 25 lbs.

  • Perform repetitive tasks such as typing and handling paperwork.


Work Environment

  • Fast-paced, guest-centered hospitality setting.

  • Requires professional appearance and adherence to Holiday Inn grooming standards.
