Position Overview:
This is a high-impact role for a detail-oriented and proactive professional who thrives in a dynamic construction environment. You will oversee office operations, HR functions, payroll, and regulatory compliance, ensuring the business runs smoothly while meeting all California legal requirements. Your expertise will directly support both our field teams and leadership in achieving operational excellence.

 

Key Responsibilities:

  • Lead office operations, managing administrative processes, communications, and scheduling.

  • Ensure full compliance with California labor laws, including employment regulations and state reporting requirements.

  • Manage certified payroll weekly for all projects, ensuring accuracy and timely submission.

  • Handle filings and reporting for EDD, DOT, and other regulatory agencies, keeping the company audit-ready at all times.

  • Oversee HR functions, including onboarding, employee documentation, benefits coordination, and policy adherence.

  • Manage billing, invoicing, and accounts receivable/payable, maintaining precise financial records.

  • Develop and implement office policies and procedures to optimize workflow and compliance.

  • Serve as a trusted resource for management and field teams, providing guidance on operational and regulatory matters.

  • Identify opportunities for process improvements and support leadership in strategic planning.

Ideal Candidate Profile:

  • Minimum 3–5 years of office management experience, ideally within construction, scaffolding, or related industries.

  • Strong knowledge of California labor law, compliance, certified payroll, and regulatory filings.

  • Proven ability to manage HR, payroll, and finance operations with accuracy and integrity.

  • Exceptional organizational, communication, and problem-solving skills.

  • Proficient in Microsoft Office Suite and familiar with payroll/HR software.

  • Self-motivated, detail-oriented, and able to prioritize multiple responsibilities in a fast-paced environment.

  • High level of professionalism, integrity, and discretion.
