Move out Specialist

Fulltime, $18-$20/HR

The Move-Out Specialist is responsible for managing the move-out process for residential and commercial properties, ensuring that vacated units are inspected, documented, and prepared for turnover in a timely manner. This role plays a critical part in maintaining high property standards, minimizing vacancies, and ensuring compliance with lease agreements and company policies. The ideal candidate is detail-oriented, organized, and capable of working both independently and as part of a team.

Essential Duties & Responsibilities

Move-Out Inspections and Documentation

  • Conduct detailed inspections of vacated units, documenting conditions and identifying necessary repairs.
  • Take clear and accurate photos to support inspection reports and potential security deposit deductions.
  • Compare move-in and move-out inspection reports to assess tenant responsibility for damages.
  • Provide timely reports to property managers regarding unit conditions and turnover timelines.

Coordination of Repairs and Turnovers

  • Identify and coordinate necessary maintenance, cleaning, and repairs for vacated units.
  • Work closely with the maintenance team and vendors to ensure units are restored to rent-ready condition.
  • Monitor progress of unit turnover and ensure timely completion of all required work.

Tenant Communication and Compliance

  • Inform tenants of move-out procedures, expectations, and security deposit guidelines.
  • Address tenant questions regarding move-out inspections, final charges, and deposit refunds.
  • Ensure all move-out processes comply with local, state, and federal regulations, including fair housing laws.

Administrative and Reporting Responsibilities

  • Maintain organized records of inspections, repair costs, and security deposit transactions.
  • Prepare and submit detailed reports on unit conditions, repair needs, and estimated turnover costs.
  • Assist property managers in updating rental listings and marketing materials as needed.

Qualifications & Requirements

Education & Experience

  • High school diploma or equivalent required.
  • Minimum of one year of experience in property management, inspections, maintenance coordination, or a related field.
  • Experience with property management software such as AppFolio, Yardi, or similar is preferred.
  • Possess and maintain a valid driver’s license and have the ability to be insured.

Key Skills & Competencies

  • Strong attention to detail and ability to document property conditions accurately.
  • Excellent communication and customer service skills for tenant interactions.
  • Ability to multi-task and work efficiently under deadlines.
  • Knowledge of fair housing laws and tenant rights related to move-outs and security deposits.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to learn new software.

Physical & Work Environment Requirements

  • Ability to lift up to 50 pounds alone and perform physical inspections.
  • Frequent walking, standing, climbing stairs, and occasional use of ladders.
  • Work is performed both in an office environment and onsite at rental properties.
  • May require occasional evening or weekend work based on tenant move-out schedules.
