Purchasing Associate

Overview
The Purchasing Associate plays a key role in supporting the supply chain by ensuring accurate and timely management of purchase orders within the ERP system (Syteline). This position coordinates supplier schedules, monitors performance, and facilitates smooth product flow to meet operational and sales requirements. Responsibilities include updating due dates and pricing, processing requisitions, resolving discrepancies, and maintaining clear communication across Purchasing, Sales, Operations, Inventory Control, and Finance. The role also contributes to inventory accuracy and continuous improvement of purchasing processes.


Key Responsibilities

  • Maintain accurate, real-time updates to purchase orders in Syteline, including due dates, pricing, and product details.
  • Review and verify purchase requisitions for completeness and proper authorization.
  • Convert approved requisitions into purchase orders within one business day.
  • Monitor supplier schedules and ensure timely delivery of materials.
  • Communicate proactively with suppliers regarding order status, delays, and performance issues.
  • Provide Sales team with timely updates on product availability and due dates.
  • Resolve discrepancies between purchase orders and vendor invoices (pricing, quantities, descriptions).
  • Collaborate with Finance to close outdated or unprocessed purchase orders.
  • Review and log supplier acknowledgments within required timelines.
  • Identify alternative suppliers when performance or cost issues arise.
  • Work with Receiving to correct any receiving errors.
  • Monitor inventory levels to prevent stockouts or overstock situations.
  • Generate bi-weekly reports highlighting delays, pricing issues, and required updates.
  • Track and document supplier performance to support continuous improvement.
  • Maintain compliance with company policies, procedures, and quality standards.
  • Perform additional duties as needed to support Purchasing and organizational goals.

Qualifications

  • Bachelor’s degree in supply chain management, Business, or related field preferred; equivalent experience considered.
  • Minimum 2 years of experience in purchasing, procurement, or supply chain roles.
  • Experience with ERP systems (Syteline preferred; SAP, Oracle, NetSuite, or Epicor acceptable).
  • Strong attention to detail and ability to manage data accuracy.
  • Effective communication skills for supplier and cross-functional collaboration.
  • Proficiency with PC platforms and office software (email, word processing).
  • Strong organizational skills, ability to prioritize, and manage multiple tasks in a fast-paced environment.

Reporting Structure: Reports to the Supply Chain Manager.
