Receptionist Part Time – Mental Health Therapy Office

Position Type: Part-Time, schedule is to be determined.

Overview

We are seeking a friendly, organized, and compassionate Receptionist to be the first point of contact in our mental health therapy practice. The ideal candidate will create a warm and welcoming environment for clients while supporting clinicians with essential front-desk operations.


Key Responsibilities

Client Interaction & Front Desk Support

  • Greet clients warmly and check them in/out in a professional manner.

  • Answer and direct phone calls, respond to voicemail, and manage messages.

  • Provide general information about services, office procedures, and appointment logistics.

  • Maintain a calming and supportive presence for clients who may be anxious or in distress.

Scheduling & Administrative Tasks

  • Schedule and reschedule appointments, ensuring accurate calendar coordination.

  • Send appointment reminders and assist with reducing no-shows.

  • Enter and update client information in the EHR/practice management software.

  • Manage waiting room flow and ensure clients are attended to promptly.

 

Payment & Insurance Assistance

  • Collect copays and process payments accurately.

  • Assist clients with basic insurance questions and direct complex inquiries appropriately.

  • Verify benefits or gather required documentation as directed by the administrator.

Confidentiality & Compliance

  • Maintain strict confidentiality and follow HIPAA regulations.

  • Handle sensitive information with professionalism and care.


Required Skills

  • Fluent in Spanish.

  • Warm, welcoming, and patient-centered customer service approach.

  • Strong organizational skills and ability to multitask in a busy environment.

  • Basic knowledge of scheduling, phone systems, and office procedures.

  • Proficiency with computers, email, and office software (Microsoft Office/Google Workspace).

  • Ability to maintain calm and compassion during emotionally sensitive situations.

  • Strong attention to detail and reliability.

  • Ability to handle confidential information appropriately.


Preferred Qualifications

  • Experience in healthcare, behavioral health, or customer service is a plus.

  • Experience in reception or office positions is a must. 

  • Bilingual (English/Spanish) is a must.
