About Our Client

Our client is a public accounting firm. They are looking for a highly detail-oriented individual to join their team. We are looking for someone who is very reliable and eager to learn. This job can be demanding in March and April; therefore, the ideal candidate must have the ability to multi-task, prioritize jobs, and meet deadlines. As our business continues to grow, we are looking for a professional and detail-oriented Assistant to support our Office Administrator in the day-to-day operations of the office.

About the Role

The Assistant to the Office Administrator plays a key role in keeping the office running smoothly. You will work closely with our Office Administrator to ensure administrative tasks are completed efficiently, clients are well supported, and internal processes stay organized.

Key Responsibilities

Assist with daily administrative tasks, filing, data entry, and document management

Tax return logins, log outs and management of office workflow processes

Answer phones, greet clients, and direct inquiries to the appropriate team member

Help schedule meetings, appointments, and reminders

Assist with sending and receiving mail, emails, and correspondence

Maintain office supplies and help with basic office organization

Support the Office Administrator with onboarding new clients

Preparation and submission of CRA client personal, business and estate consent forms

Manage the office email and respond to new leads in a professional manner

Prepare mail, professional letters, and faxes to Canada Revenue Agency (CRA), clients, lawyers, and various other professional contacts

Qualifications

Experience in an administrative or office support role

Valid Drivers license and a vehicle

Strong attention to detail and organizational skills

Excellent communication skills, both written and verbal

Experience with Microsoft Office, specifically Excel, Word, Teams and Outlook

Experience with Taxcycle/ Doxcycle is considered an asset

Ability to prioritize tasks, work independently, and manage time effectively

Hours

Monday - Friday: 9 AM – 5 PM (30-minute unpaid lunch)

March and April: Monday - Wednesday 9 AM – 6 PM, Thursday and Friday 9 AM – 5 PM and Saturday 9 AM – 12 PM with additional overtime last few weeks of April
