Operations & Administrative Coordinator
Position Overview:Express Employment Professionals is seeking a highly organized, tech-savvy Branch Administrator to support a busy engineering office. This role requires a self-starter with strong attention to detail who can manage a wide variety of administrative, accounting, and operational tasks. The ideal candidate is comfortable handling everything from project and invoice setup to assisting engineers with reports, managing timesheets, supporting new employee onboarding, and performing light bookkeeping and collections. Bilingual skills are a plus.
Set up clients and projects within the ERP system.
Prepare and process project billing, invoices, change orders (COs), and purchase orders (POs).
Perform light bookkeeping functions including accounts receivable, collections, accounts payable, and timesheet processing.
Maintain and update project budgets and vendor records.
Assist engineers by editing and preparing reports, proposals, and other project documents.
Support HR with onboarding tasks, training coordination, and new employee enrollment.
Manage office operations including ordering supplies, handling mail/courier services, and answering incoming calls.
Provide general administrative support across the branch, ensuring smooth daily operations.
Maintain a high level of accuracy when converting information, generating invoices, and preparing documentation.
Serve as a resource for employees in navigating systems, tools, and training materials.
Perform additional administrative or operational duties as assigned.
Experience in an engineering or professional services environment preferred.
Minimum one year of experience in accounts receivable, accounts payable, collections, or related bookkeeping tasks.
Prior billing experience, especially within an ERP accounting system, preferred.
Proficient in Microsoft Word, Excel, Outlook, and comfortable learning new systems quickly.
Demonstrated accuracy in billing, data entry, and document preparation.
Strong organizational skills with exceptional attention to detail.
Ability to multitask, prioritize, and work independently with minimal supervision.
Excellent verbal and written communication skills, with strong customer service orientation.
Tech-savvy and adaptable, with the ability to support onboarding and software training.
Bilingual (English/Spanish) is a plus.
Reliable attendance and ability to work on-site during regular business hours.
Florida Notary, or willingness to become commissioned, preferred.
Monday–Friday, 8:00 AM – 5:00 PM (1-hour unpaid lunch)
Fort Myers, FL 33916 (on-site position)
$25.00 per hour
