Express Employment Professionals, Laguna Hills is recruiting Executive Assistant & Sales Coordinator for a fast growing company located in Newport Beach

 

Pay: $60k-$70k salary

Schedule: Hybrid position: 2–3 days per week in the Newport Beach office

 

Responsibility:

Executive Administrative Support

  • Manage and prioritize partners’ calendars, emails, and correspondence.
  • Prepare pre-meeting materials, reports, presentations, and proposals for internal and client meetings.
  • Serve as the primary liaison between partners and clients, strategic partners, and internal leadership.
  • Handle confidential information with discretion, following firm privacy and ethics policies.
  • Provide bookkeeping services for partner-owned entities.

Sales & Client Relationship Coordination

  • Coordinate partner referrals, introductions, and follow-up communications for prospective clients.
  • Assist partners and the business development team in managing the sales pipeline, tracking opportunities, preparing proposals, and onboarding clients.
  • Support marketing initiatives, including webinars, events, email campaigns, and web campaigns.
  • Assist with client satisfaction surveys and feedback loops.

Project & Operational Support

  • Support special projects with cross-functional teams including Fulfillment, HR, Operations, and Finance.
  • Communicate project status, manage deadlines, and ensure alignment across departments.

 

 

Requirements:

·         Bachelor’s degree in business, communications, accounting, or related field preferred

·         Minimum 5+ years supporting senior executives, preferably in a professional services, financial, or accounting firm environment.

·         Experience with CRM tools, workflow systems, and sales pipelines.

·         Familiarity with CPA firm workflows, practice management software (e.g., CCH Axcess, Thomson Reuters), and project or CRM systems preferred.

·         Knowledge of proposal and engagement letter processes.

·         Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and collaboration software.

·         Exceptional written and verbal communication skills.

·         Highly organized, detailoriented, and able to manage multiple priorities with minimal supervision.

·         High emotional intelligence; able to maintain professionalism in dynamic settings, and strong self-motivation.

·         Understanding of business etiquette and ability to work with Csuite stakeholders.
