We are seeking a detail-oriented and proactive Regulatory Compliance and Product Information Coordinator to support our compliance and product documentation processes. This role ensures that products — including those with controlled substances or regulated chemicals — meet regulatory and safety standards by gathering, preparing, and maintaining documentation. You will work closely with vendors, purchasing, customer service, and sales teams to manage compliance documentation, respond to information requests, and maintain accurate records.

Key Responsibilities:

Regulatory Documentation & Customer Support:

• Prepare and distribute regulatory compliance documents for customers, including safety data sheets (SDS), declarations, and certifications.

• Respond to documentation requests from Customer Service and Sales using internal systems and vendor-provided information.

• Upload and provide documents through customer portals, email, or other platforms as needed.

Vendor Communication & Information Gathering:

• Contact vendors via websites, phone, and email to gather detailed product information and regulatory documentation.

• Coordinate with the Purchasing Department regarding any changes in vendors or product sources.

Data Entry & Document Management:

• Accurately enter and maintain data in Excel spreadsheets and internal databases.

• Retain all source documents and declarations electronically in an organized, accessible filing system.

• Ensure all documents are authentic, current, unaltered, and accurate in accordance with company and regulatory standards.

Specification Management & Internal Updates:

• Update company specification sheets as needed; post and distribute updated versions as required.

• Research unusual or complex information requests to gain a better understanding before responding or escalating.

• Assist in ensuring ongoing compliance with regulatory requirements such as OSHA, DOT, REACH, or other applicable frameworks.
