Administrative Assistant – Full-Time

Position Overview

We are seeking a highly organized and detail‑oriented Administrative Assistant to provide daily office support and ensure smooth business operations. The ideal candidate is proactive, professional, and skilled in administrative tasks, customer service, scheduling, and office coordination. This role is essential to supporting management, maintaining efficient workflows, and delivering excellent internal and external communication.


Key Responsibilities

  • Manage daily administrative tasks, including filing, data entry, document preparation, and recordkeeping.
  • Answer phones, respond to emails, and provide professional customer service to clients, vendors, and staff.
  • Schedule appointments, coordinate meetings, and maintain calendars for management and team members.
  • Prepare reports, memos, spreadsheets, and correspondence as needed.
  • Assist with onboarding, HR paperwork, and maintaining employee files.
  • Organize office supplies, maintain inventory, and coordinate with vendors for orders and services.
  • Support accounting tasks such as invoice processing, expense tracking, and basic bookkeeping.
  • Maintain confidentiality and handle sensitive information with professionalism.
  • Assist with special projects and general office operations as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • 1–3 years of experience as an Administrative Assistant, Office Assistant, Receptionist, or similar role.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills.
  • Strong communication, organizational, and time‑management abilities.
  • Ability to multitask, prioritize, and work independently in a fast‑paced environment.
  • Professional demeanor and strong customer service skills.

Preferred Skills

  • Experience with office management systems, CRM software, or scheduling tools.
  • Strong typing and data‑entry accuracy.
  • Problem‑solving skills and the ability to anticipate needs.
