We are seeking a professional, organized, and customer-service-focused Office Assistant to join of of our client team. This role supports daily administrative functions, assists residents and visitors, and ensures smooth office operations.


📋 Key Responsibilities:

  • Greet and assist residents, contractors, vendors, and visitors in a professional manner.

  • Answer and direct calls, take accurate messages, and manage a multi-line phone system.

  • Prepare, proofread, and maintain correspondence, memos, reports, and newsletters.

  • Maintain organized filing systems, scan and store key documents, and purge outdated files as needed.

  • Provide administrative support to property management and maintenance staff.

  • Data entry into Excel spreadsheets and Yardi software for accounts receivable/payable.

  • Schedule meetings, maintain calendars, and coordinate mail and package handling.

  • Order and maintain office/kitchen supplies inventory.

  • Operate standard office equipment (copiers, fax, postage meter, typewriter, etc.).

  • Perform other office-related duties as assigned.


✅ Qualifications:

Required:

  • Minimum 1+ years of administrative or clerical experience in an office setting.

  • Proficiency in MS Word, Outlook, and basic Excel skills.

  • High school diploma or GED equivalent.

  • Strong customer service and communication skills.

  • Excellent organizational and time management abilities.

Preferred:

  • Some college coursework or training in MS Office.

  • Experience with Yardi Voyager or housing industry software (or willingness to train).

  • Prior property management or customer service experience.

  • Bilingual (Spanish) a plus.
