Job Title: Customer Service & Administrative Assistant
Location: Mississauga, ON
 
We are seeking a detail-oriented and proactive Customer Service & Administrative Assistant to support office operations, sales activities, and customer service for our client. This role involves maintaining product information, preparing sales materials, managing credits and invoices, assisting with customer and vendor communications, and supporting the sales team with reporting and administrative tasks.

The ideal candidate will have at least 1 years of office experience, 1 year of QuickBooks proficiency, and strong Excel skills (including pivot tables). A background in sales or marketing is an asset. This position is based on-site at our Mississauga office.
 
Key Responsibilities
  • Update monthly product catalogues
  • Prepare and update order sheets (monthly and customized as required)
  • File and maintain physical documents
  • Answer and direct phone calls
  • Respond to customer emails, including portal inquiries from the site
  • Investigate and document order errors, obtaining manager approval for credits
  • Support client-related issues and requests as needed
  • Enter credits and bill backs
  • Generate monthly reports for vendor bill backs
  • Update and maintain the customer database
  • Fill out new listing forms for key account review
  • Assist with the invoice payment collections process by contacting clients via calls and emails
  • Submit invoices on customer portals
  • Set up new accounts in QuickBooks
  • Provide general sales rep support and assist with sales reporting
  • Communicate price changes to clients and update related spreadsheets
  • Create and analyze monthly sales reports (by customer, by item, by sales rep)
  • Schedule reminders and organize the calendar of annual promotions by brand and by customer
Qualifications 
  • Minimum 1 years of prior office experience, preferably in the food industry
  • Proficiency with QuickBooks (minimum of 1 year required)
  • Strong Microsoft Excel skills (including pivot tables and reporting tools)
  • Background in sales and/or marketing (preferred)
  • Experience providing administrative support in a fast-paced, open-concept office environment
  • Strong customer service, organizational, and multitasking skills
  • Ability to take initiative and drive tasks to completion
  • Detail-oriented with excellent data entry accuracy
  • Strong written and verbal English communication skills
  • Ability to work independently and collaboratively in a team environment
  • Previous experience in sales support, office administration, or accounting support is an asset
  • Must be able to commute easily to the Mississauga office
  • Excellent capacity for analysis, strategic thinking, and initiative
