JOB DESCRIPTION POSITION TITLE: Administrative Assistant – Bookkeeper (HVAC Company)
PURPOSE: Provide administrative and bookkeeping support to ensure smooth daily operations in a busy air conditioning service company.
KEY RESPONSIBILITIES:
Provide front desk and reception coverage, including welcoming visitors, receiving packages, answering phones, routing messages, ordering office supplies, and filing.
Assist HVAC technicians by assigning job numbers and generating purchase order numbers.
Prepare and track HVAC work authorizations and service requests.
Prepare and post job-related bank deposits.
Verify, code, and process all accounts payable invoices related to HVAC services and inventory.
Generate and submit accurate customer invoices for HVAC installations, maintenance, and repair work.
Perform monthly bank reconciliations.
Prepare and submit monthly sales tax returns and other required reports for HVAC-related revenue.
Process weekly payroll for technicians and office staff.

KNOWLEDGE / SKILLS / ABILITIES:
Experience with customer service and multi-tasking in a fast-paced office setting, ideally in the HVAC or construction industry.
Strong attention to detail and excellent administrative skills.
Exceptional verbal and written communication skills.
Ability to work independently, take initiative, and meet deadlines in a dynamic HVAC environment.
Proficiency in Microsoft Office (Excel, Word, Outlook), QuickBooks, and general office technology.
Bilingual (Spanish/English) preferred for customer communication.
EDUCATION / EXPERIENCE: High school diploma or equivalent required. Associate degree preferred. Minimum of two years of general office or administrative experience—HVAC or trade industry experience a plus.
