Job Description:
1. **Administrative Support**: Provide general administrative support to various departments within the organization, including answering phones, managing correspondence, filing documents, and scheduling appointments.
2. **Data Entry**: Input and maintain accurate records and data using computer software such as Microsoft Office Suite or specialized databases.
3. **Reception Duties**: Greet visitors, answer inquiries, and direct them to the appropriate personnel or department. Manage incoming and outgoing mail and packages.
4. **Office Organization**: Maintain a tidy and organized office environment by ordering supplies, keeping inventory, and ensuring equipment is in working order.
5. **Assistance with Meetings and Events**: Assist in organizing meetings, conferences, and other events by coordinating logistics, preparing materials, and arranging catering if necessary.
6. **Communications**: Assist with drafting and proofreading documents, emails, and reports. Handle basic correspondence on behalf of the organization.
7. **Financial Support**: Assist with basic financial tasks such as processing invoices, expense reports, and reimbursements.
8. **Tech Support**: Provide basic technical support to office staff, troubleshoot computer or software issues, and escalate technical problems as needed.
9. **Other Duties as Assigned**: Perform various tasks and projects as requested by supervisors or managers to support the smooth operation of the office.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Prior experience in an office environment or administrative role preferred.
- Proficiency in Microsoft Office Suite and other common office software.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to work independently with minimal supervision and as part of a team.
- Flexibility and adaptability to changing priorities and deadlines.
