Salary: $20-25/hr.
The administrative assistant is responsible for performing a variety of advanced, diverse, confidential administrative, and paraprofessional duties. This position is primarily responsible for assisting department personnel in maintaining comprehensive, organized electronic files. This position is also responsible for supporting the assigned department with other department-specific tasks as they arise. These tasks may include scheduling meetings, supporting employee onboarding, customer service, or similar tasks.
Responsibilities:
· Supports departmental staff and project controls team to maintain organized file system in SharePoint/Teams database. Uploads files, verifies correct file location and relocates files as needed, reviews and revises existing file tags, and applies relevant tags to untagged files.
· Provides clerical support to departmental management team and project staff.
· Schedules meetings and coordinates internal and external calendars.
· Orders supplies, tracks costs, and maintains organized supply inventory.
· Screens visitors and resolves routine and complex inquiries.
· Drafts and copy-edits meeting summaries, correspondence letters, memos, transmittals, spreadsheets, and prepares presentations.
· Develops and manages contact lists and coordinates electronic notifications and print mailings; uses Word mail merge function to create form letters, prints mailing labels and envelopes, and applies postage.
· Tracks and reconciles credit card activities, tracks invoices, and provides basic financial support to department.
· Participates in the budget process by monitoring departmental expenses and providing input for the annual budget.
· Utilizes Microsoft Excel to perform tasks of intermediate complexity, such as entering data; creating formulas, filters, and pivot tables; and formatting reports.
· Coordinates various department activities, events, and special projects.
· Utilizes PowerPoint and other tools to prepare professional, informative presentations.
· Arranges travel for department staff as needed. Travel arrangements include researching and booking flights, hotels, cars, as well as providing an itinerary with meetings and appointments as needed for the trip.
Skills and Experience:
· Three years of experience in administrative work, where comprehensive skills have been demonstrated through successful performance of a variety of administrative duties.
· Confidence using Concur or other invoicing systems
· Intermediate skills with Word, Excel, and Outlook
· Demonstrated problem solving skills
· Thorough knowledge of standard office equipment and related hardware and software.
· Excellent organization and time management skills.
· Exceptional level of interpersonal skills required to effectively communicate with all levels of supervisory and non-supervisory employees and governmental entities.
· Ability to work independently, in a face paced environment.
