Position Summary:

The Receptionist / Administrative Assistant works with limited supervision to provide front desk and administrative support to the Human Resources department. This role serves as the first point of contact for visitors and callers, ensuring a professional and welcoming experience while supporting a variety of administrative and project-based tasks. The ideal candidate is detail-oriented, business-minded, adaptable, and capable of managing multiple priorities in a fast-paced environment.

Essential Functions:

Front Desk & Customer Service

  • Greet and welcome visitors in a professional and friendly manner
  • Answer and direct incoming calls using a multi-line switchboard
  • Respond to or route inquiries to appropriate personnel
  • Maintain a clean, organized, and professional reception area
  • Manage visitor check-in procedures and issue badges in accordance with security protocols

Administrative & HR Support

  • Provide administrative support to the Human Resources team
  • Perform filing, auditing, and document management tasks
  • Maintain and update department procedures, forms, and records
  • Assist with HR-related processes and projects as needed
  • Support internal customer service needs such as conference room scheduling, vendor refunds, anniversary gift distribution, and locker assignments

Project & Office Support

  • Assist with a variety of ongoing projects requiring strong organization and follow-through
  • Prioritize workload and adapt quickly to shifting priorities
  • Utilize Microsoft Office and HRIS systems to complete assignments efficiently
  • Demonstrate strong written communication skills in documentation and correspondence

Compliance & Operations

  • Follow all security procedures, including those required under the Foreign Trade Zone agreement
  • Maintain confidentiality, professionalism, and discretion at all times
  • Support company-wide safety programs, 5S initiatives, and ISO procedures
  • Maintain regular and reliable attendance

Qualifications

  • High school diploma, GED, or equivalent required
  • Minimum of 5 year's of experience in receptionist, administrative, or customer service roles
  • Strong customer service and interpersonal skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office and confident with computer systems
  • Strong organizational skills with high attention to detail
  • Ability to prioritize tasks, manage multiple projects, and pivot as needed
  • Business-minded with a proactive and solutions-oriented approach

Preferred Qualifications:

  • Prior experience supporting Human Resources functions
  • Experience with HRIS systems
  • Candidates with HR knowledge are encouraged to apply

Physical Requirements

This position primarily involves sedentary work, with occasional standing, walking, reaching, and light lifting. The ability to lift, push, or pull up to 15 pounds occasionally is required. Regular computer use and repetitive motion are expected.
