Job Summary
The Senior Accounts Payable Specialist carries a full day-to-day A/P workload in Remarcable and Viewpoint Vista while serving as the team’s go-to resource for complex problems, training, and process improvement. The ideal candidate thinks creatively, questions how work is done today, and uses automation and AI tools to make the process faster and more accurate. They are a positive, collaborative team player who leads by example and takes ownership of results.
Primary Duties and Responsibilities
Day-to-Day A/P Operations
• Carry a full daily A/P workload, processing PO-backed invoices in Remarcable and non-PO, overhead, subcontractor, and MSA invoices in Viewpoint Vista.
• Resolve exceptions, coding issues, and vendor discrepancies in own work queue.
• Reconcile vendor statements and credit card payments.
• Perform lien waiver verification and subcontractor compliance checks.
• Perform month-end and job-closing A/P tasks, including accrual support and open PO reconciliation.
• Prepare and review payment runs for accuracy and completeness before Supervisor approval; apply sales tax rules and resolve exceptions.
• Provide backup coverage for Specialists during peak volume and absences.
Complex Problem Resolution
• Serve as the escalation point for the most complex A/P issues: multi-PO and partial-billing mismatches, retainage, change-order disputes, duplicate or misapplied payments, and aged vendor balances.
• Perform root-cause analysis on recurring errors and exceptions; implement fixes that prevent them rather than correcting them one at a time.
• Partner with project managers, purchasing, field staff, and vendors to resolve cross-department issues affecting job cost or vendor relationships.
• Resolve complex subcontractor compliance issues and holds (lien waivers, MSAs, addendums, insurance).
Process Improvement and Technology
• Identify, recommend, and implement improvements across the A/P process, from invoice receipt through payment and job close, with Supervisor approval.
• Act as A/P’s subject-matter expert for the A/P side of Remarcable (invoice matching, A/P approvals, and the Viewpoint Vista integration); partner with Supply Chain and IT on changes that affect A/P.
• Identify opportunities to apply AI and automation (e.g., AI-assisted invoice review, exception triage, vendor inquiry responses, report generation, and data analysis) and pilot them responsibly with appropriate controls.
• Build reports and dashboards that support the KPIs set by the Supervisor (cycle time, exception rates, discount capture, aging).
• Participate in or lead Improvement Projects as assigned.
• Bring fresh, out-of-the-box thinking to longstanding problems; test new ideas and scale what works.
Training, Mentoring, and Documentation
• Draft and maintain standard operating procedures (SOPs), job aids, and process maps for A/P workflows, for Supervisor approval.
• Train new and existing A/P staff on processes, Remarcable, Viewpoint Vista, and new tools; lead cross-training.
• Mentor A/P Specialists, coaching on problem-solving and serving as a day-to-day resource for questions.
• Train field and project personnel on approval workflows and A/P requirements.
Controls and Audit
• Follow internal controls, flag gaps, and recommend control improvements as processes change.
• Prepare A/P schedules and documentation for internal and external audits.
• Perform additional tasks as requested.
Education and Experience
Education:
• High school diploma or equivalent certification.
– Preferred: Associate or Bachelor’s degree in Accounting, Finance, or related field.
Experience:
• Minimum of five (5) years of full-cycle accounts payable experience, including at least two (2) years in a high-volume environment.
• Hands-on experience with an A/P automation or procurement platform such as Remarcable, including configuring or improving workflows.
– Preferred: Advanced Remarcable and Viewpoint Vista experience.
– Preferred: Construction industry and job cost accounting experience.
• Experience identifying and implementing process improvements.
• Experience writing SOPs and training or mentoring others.
• Advanced Excel skills (pivot tables, lookups, data analysis); experience with reporting tools or AI tools (e.g., Microsoft Copilot, ChatGPT, Claude) is a strong plus.
Required Skills
• Advanced analytical, research, and problem-solving skills; able to break down ambiguous problems and find root causes.
• Creative, out-of-the-box thinker who challenges the status quo and proposes practical solutions.
• Strong technology aptitude and curiosity; eager to learn and apply automation and AI tools.
• Clear, structured writing skills for SOPs, training materials, and recommendations.
• Ability to teach, coach, and mentor with patience and professionalism.
• Ability to take an improvement from idea through rollout.
• Excellent communication and influence skills across all levels, including field personnel and leadership.
• High degree of tact, diplomacy, and sound judgment.
• Strong understanding of accounting principles, internal controls, and construction A/P.
• Self-motivated, organized, and able to manage competing priorities and deadlines.
• Commitment to an exemplary attendance record.
