This position provides high-level administrative, accounting, and operational support to Finance and Executive Leadership while serving as a central point of coordination for daily office operations.

Primary Responsibilities
- Provide administrative and operational support to the Accounting Manager and Executive Vice President
- Coordinate executive meetings, calendars, appointments, company events, and meeting logistics
- Prepare agendas, meeting minutes, reports, presentations, correspondence, and follow-up communications
- Assist with accounts payable, accounts receivable, invoicing, purchase orders, and expense reports
- Reconcile credit card statements and maintain accurate financial documentation
- Maintain vendor records and communicate with vendors as needed
- Support month-end and year-end accounting activities
- Answer and direct incoming phone calls, emails, and visitors professionally
- Maintain organized electronic and physical filing systems
- Coordinate office supplies, equipment, facility maintenance, and service vendors
- Assist with employee recognition events, meetings, and company functions
- Track deadlines, action items, and follow-up activities to ensure timely completion
- Help develop and maintain office procedures, documentation, and efficient workflows
- Handle confidential business and financial information with discretion and professionalism
- Support special projects and additional executive requests as needed
Required Qualifications
- 5+ years of administrative, executive support, or office management experience
- Experience supporting accounting or finance functions strongly preferred
- Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint
- Experience with QuickBooks, ERP systems, or other accounting software preferred
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
- High level of accuracy and attention to detail
- Professional demeanor and strong customer service mindset
- Ability to handle confidential and sensitive information appropriately
- Proactive problem-solving skills and ability to recommend solutions
- Ability to work independently while collaborating effectively across multiple departments
- Associate degree in Business Administration, Accounting, or a related field preferred; comparable professional experience will be considered
- Reliable attendance and strong professional work ethic
Pay: $45,000–$50,000/year or approximately $22–$24/hr, based on experience
