Payroll & Benefits Specialist Job Summary
A growing West Michigan company is seeking a detail-oriented Payroll & Benefits Specialist to oversee payroll processing and employee benefits administration across multiple operating companies. This role is responsible for ensuring accurate and compliant payroll processing, administering employee benefit programs and leave of absence policies, maintaining employee records, and serving as a key resource for payroll and benefits questions. The ideal candidate is highly organized, analytical, customer-focused, and committed to maintaining confidentiality while delivering exceptional internal service.
Responsibilities
- Process accurate and timely weekly, bonus, and off-cycle payrolls while reviewing timecards, auditing payroll data, reconciling payroll registers, and ensuring compliance with federal, state, and local regulations.
- Maintain employee payroll records, including wages, deductions, PTO, leave balances, direct deposits, garnishments, W-2 processing, payroll reports, reconciliations, and year-end audits.
- Research and resolve payroll discrepancies, respond to employee payroll inquiries, and recommend process improvements that enhance payroll efficiency and accuracy.
- Administer employee benefits, including enrollments, life event changes, terminations, payroll deductions, ACA tracking, vendor coordination, open enrollment, and employee communications.
- Serve as the primary resource for employee payroll and benefits questions while maintaining accurate records and ensuring compliance with ERISA, COBRA, HIPAA, ACA, and other applicable regulations.
- Administer leave of absence programs, including FMLA, ADA accommodations, disability, personal leave, and applicable state leave programs, while coordinating documentation, employee communications, compliance tracking, and return-to-work processes.
- Provide HR administrative support by assisting with onboarding, maintaining employee records, preparing reports and correspondence, supporting special projects, and providing backup support to the HR team as needed.
- Maintain strict confidentiality while promoting a safe work environment by following company safety policies and promptly reporting workplace hazards or incidents.
Schedule & Compensation
- Schedule: Full-time, Monday-Friday
- Compensation: $55,000-$65,000/YR., based on experience
Qualifications
- Bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred.
- Three to five years of payroll and benefits administration experience required; multi-state payroll, leave administration, and Paylocity experience preferred.
- Strong knowledge of payroll processing, payroll laws, employment regulations, employee benefits administration, and leave management, including FMLA, ADA, ACA, ERISA, COBRA, and HIPAA.
- Proficiency with payroll systems, HRIS platforms, timekeeping software, and Microsoft Office, including strong Excel skills.
- Strong analytical, auditing, reconciliation, problem-solving, and organizational skills with exceptional attention to detail.
- Excellent verbal, written, interpersonal, and customer service skills with the ability to manage multiple priorities and deadlines.
- Ability to maintain confidentiality, exercise sound judgment, and work both independently and collaboratively in a team environment.
- CPP, FPC, SHRM-CP, or PHR certification is a plus, along with a professional demeanor and commitment to continuous improvement.
