JOB TITLE: Office Coordinator
REPORTS TO: Human Resoures Manager
JOB SUMMARY: The Office Coordinator plays a critical role in ensuring the smooth daily operation of the workplace while enhancing the overall team member experience. This position combines office operations, team member engagement, executive support, and event coordination to maintain a highly organized, professional, and welcoming environment. The role requires strong attention to detail, proactive problem-solving, and a service-oriented mindset, while also owning and continuously improving key workplace experience touchpoints across the organization.
JOB DUTIES TO INCLUDE:
Office Operation
· Manage office supplies and maintain organized workspaces
· Serve as liaison to cleaning services
· Manage mail filtering and coordination
· Answer and direct incoming phone calls
· Maintain welcome screens and office monitors
Team Member Engagement & Recognition
· Coordinate birthday and sympathy cards
· Manage service awards and recognition programs
· Support scholarship program administration
· Assist in planning company events (e.g., BBQs)
Meeting and Events Coordination
· Coordinate meetings, lunches, and offsite events
· Support dignitary and VIP visitor coordination
Executive Support
· Provide administrative support to HR and executive leadership
· Serve as go-to resource for general office needs
REQUIREMENTS:
· Minimum 2 years of experience in office coordination, administrative support, or similar role
· Strong organizational and time management skills
· Detail-oriented with the ability to maintain high standards of organization
· Strong communication and interpersonal skills
· Proficiency in Microsoft Office (Outlook, Excel, Word)
· Ability to handle confidential information with discretion
· Bilingual (Spanish) Preffered
