Administrative Coordinator
Pay: $25–$26 per hour
Schedule: Monday–Friday, 8am–5pm
Location: Bend, Oregon
About the Role:
This position blends administrative support, customer service, event coordination, marketing assistance, and communication. It is both operational and public facing, you’ll often be the first point of contact for visitors, callers, and community partners.
You’ll help keep the office running smoothly, support events, maintain accurate data and documentation, and contribute to marketing and communication efforts. The ideal candidate is warm, welcoming, detail-oriented, tech-savvy, with a natural ability to pitch in wherever needed. Occasional support at events outside standard business hours is required.

Key Responsibilities:
Administrative & Office Support
- Serve as the first point of contact by answering phones, greeting visitors, and providing warm, professional customer service.
- Provide administrative support across departments, including scheduling, calendar coordination, and general office tasks.
- Maintain office organization, supplies, mail, and accurate documentation.
- Assist with Board communication, meeting notices, minutes, and packet preparation.
- Support basic bookkeeping tasks as assigned.
Event Coordination
- Assist in planning, promoting, and executing events of various sizes.
- Coordinate logistics such as venue communication, vendor details, seating charts, name tags, attendee correspondence, volunteer coordination, and check-in.
- Use platforms such as Eventbrite, Constant Contact, Canva, and shared marketing calendars.
- Attend and support occasional events outside of normal business hours.
- Maintain accurate CRM and membership records, including sponsorship and event details.
Marketing & Communications Support
- Help develop, proof, and publish content for websites, newsletters, and social media.
- Assist with digital art, simple graphics, and marketing materials using tools like Canva or PowerPoint.
- Support communication efforts with stakeholders, partners, and community members.
- Update website content and maintain accuracy across digital platforms.
- Assist with documentation, reporting, and ongoing data accuracy across systems
Required Skills & Experience
- 2+ years of experience in any combination of:
- Administrative support, Marketing, Communications, and Event planning,
- Proficiency with Microsoft Office, especially Excel, Word, Outlook, and Teams.
- Comfortable using Zoom and navigating Windows-based systems.
- Strong writing, proofreading, and communication skills.
- Ability to multitask, stay organized, and work with a wide range of personalities.
- Tech-savvy with the ability to learn new platforms quickly.
Preferred (Not Required)
- Experience with Eventbrite, Constant Contact, Canva, Adobe InDesign, or similar tools.
- Basic bookkeeping or QuickBooks experience.
