Part-Time Intake & Operations Coordinator

Location: Ocala, FL (In-Person)

Pay: $17.00/hour
Schedule: Monday–Friday | 10:00 AM – 3:00 PM (25 Hours/Week)

We're a rapidly expanding residential and commercial mortgage company seeking a highly organized, dependable, and proactive Intake & Operations Coordinator to help keep our business running smoothly. What You'll Be Responsible For

Client Intake & Customer Support

  • Serve as the first point of contact for incoming clients
  • Gather and organize personal and financial information
  • Guide clients through processes and next steps
  • Maintain professional, friendly, and timely communication
  • Create a positive first impression of our company

Loan & File Processing

  • Enter and maintain loan application data, including 1003 applications
  • Review documents for completeness and accuracy
  • Monitor file progress and identify issues before they become delays
  • Maintain organized and compliant client records

Mailroom & Logistics Operations

  • Process incoming and outgoing mail, packages, and deliveries
  • Prepare overnight shipments and courier services
  • Track shipments and maintain accurate records
  • Handle confidential documents with care and urgency
  • Operate office equipment including scanners, postage systems, and copiers
  • Maintain organized mailroom, storage, and supply areas

Administrative & Office Support

  • Coordinate schedules, appointments, and calendars
  • Draft emails, letters, and internal communications
  • Maintain digital and physical filing systems
  • Support leadership and team projects as needed
  • Assist with daily office workflow and organization

Billing & Operations Support

  • Prepare and distribute invoices
  • Track payments and assist with collections follow-up
  • Support basic accounting and reporting functions
  • Ensure billing records are accurate and properly documented

Office Appearance & Team Support

  • Help maintain a clean, professional, and welcoming office environment
  • Assist with routine office upkeep and organization
  • Ensure shared spaces remain presentable for clients and staff
  • Pitch in wherever needed to support the team

What We're Looking For

Required Qualifications

✔ Strong computer skills (required)
✔ Typing speed of 40+ WPM with accuracy
✔ High school diploma or equivalent
✔ Strong attention to detail and organizational skills
✔ Ability to work independently and manage multiple responsibilities
✔ Excellent written and verbal communication skills

Preferred Experience

  • Administrative, intake, office support, or customer service experience
  • Mailroom, logistics, or document management experience
  • Mortgage, banking, or lending industry experience
  • Experience handling confidential information
