Position Summary

We are seeking a reliable and organized Receptionist to serve as the first point of contact for our office. This role is responsible for general administrative support, timely follow-up with online leads, and coordinating appointment scheduling for a team of seven representatives. The ideal candidate is personable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

Front Desk & General Administration

  • Greet clients and visitors in a professional and friendly manner
  • Answer and direct incoming phone calls and emails
  • Perform general administrative duties such as data entry, filing, scanning, and document preparation
  • Maintain office organization and assist with day-to-day operational needs

Online Lead Follow-Up

  • Monitor incoming online leads from designated platforms
  • Respond to inquiries promptly via phone, email, or text according to company guidelines
  • Accurately enter and update lead information in the CRM system
  • Assign or route qualified leads to the appropriate representative

Appointment Scheduling

  • Schedule, confirm, reschedule, and cancel appointments
  • Coordinate calendars to ensure efficient use of time and resources
  • Send appointment confirmations and reminders to clients
  • Communicate schedule updates clearly with the sales team
