Certified government-mandated Payroll Administrator

Location: Sycamore, Full-Time M-F 8am-5pm

Position Summary
We are seeking a reliable and detail-oriented Office & Payroll Administrator to manage daily office operations, payroll processing, and accounting support. This role requires strong organizational skills, accuracy, and experience handling payroll and financial tasks in a fast-paced environment.

MUST HAVE:

  • Certified Payroll Experience
  • Knowledge of LCP Tracker and IDOL (State-mandated systems for labor compliance and prevailing wage reporting)

Responsibilities

  • Process weekly/biweekly payroll accurately
  • Manage employee records, timesheets, and payroll compliance
  • Handle accounts payable and accounts receivable
  • Perform basic accounting and bookkeeping duties
  • Use QuickBooks for payroll, invoicing, and financial tracking
  • Support onboarding paperwork and general office administration
  • Assist with reports and vendor coordination
  • Maintain compliance with prevailing wage and certified payroll requirements

Certified Payroll Experience Required

“Certified payroll experience” refers to working with government-mandated payroll reporting, typically on public works or government-funded construction projects.

What Certified Payroll Includes:

  • Preparing payroll in required reporting formats (such as WH-347)
  • Submitting weekly certified payroll reports
  • Verifying accuracy and compliance of wage data

Typical Duties Include:

  • Ensuring prevailing wage compliance
  • Matching employees to proper job classifications
  • Tracking regular and overtime hours
  • Recording pay rates, deductions, and fringe benefits
  • Maintaining documentation for audits
  • Responding to compliance audits and correcting discrepancies

Required Software Knowledge

  • LCP Tracker (Labor Compliance Program tracking)
  • IDOL reporting system
  • QuickBooks (Required)
  • Microsoft Office (Excel proficiency strongly preferred)

Qualifications

  • 3+ years of office administration and payroll experience
  • Certified payroll experience required
  • QuickBooks experience required
  • Knowledge of AP/AR and accounting practices
  • Strong attention to detail and confidentiality
  • Excellent communication and time-management skills
  • Ability to manage multiple deadlines
