Office Coordinator & Inventory Control Associate

Location:  Tampa Fl 33634

Schedule:  Monday-Friday 8am-5pm

Pay:  $18/HR

Job Summary

The Office Coordinator / Inventory Control Associate is responsible for maintaining a clean, safe, and well‑organized facility while providing administrative support to Human Resources, the CEO, and Marketing. This role requires strong organization, communication, and the ability to manage multiple tasks independently. Responsibilities may evolve based on business needs.

Essential Functions

Office Coordination

  • Communicate effectively in person, by phone, and in writing

  • Perform administrative tasks including scanning, filing, data entry, and typing

  • Assist HR, CEO, and Marketing with light administrative support

  • Help plan and coordinate company events, activities, and meetings

  • Run off‑site errands as needed

  • Maintain organized office spaces, supply rooms, and break rooms

Inventory Control

  • Monitor and manage facility supply inventory

  • Track stock levels and notify leadership when replenishment is needed

  • Organize supply areas to ensure accurate counts and easy access

  • Support ordering, receiving, and stocking of office and facility supplies

Facility Support

  • Identify, address, and resolve facility maintenance needs efficiently and cost‑effectively

  • Use critical thinking to troubleshoot facility‑related issues

  • Maintain cleanliness and organization throughout the facility

  • Coordinate with vendors or maintenance personnel as needed

Physical Requirements

  • Ability to stand, walk, climb short heights, crouch, and lift up to 50 lbs (with assistance as needed)

  • Comfortable performing both administrative and hands‑on facility tasks

 

Duties & Responsibilities

  • Monitor the facility for maintenance or safety concerns

  • Resolve minor issues such as restocking supplies or marking hazards

  • Coordinate with maintenance vendors (cleaning, plumbing, HVAC, carpet, etc.)

  • Maintain and order office, facility, and break room supplies

  • Keep supply areas organized and fully stocked

  • Fulfill internal office supply requests

  • Make supply runs to outside vendors (Costco, Publix, etc.)

  • Track facility and supply-related expenses

  • Assist with planning and executing employee events (often with the Fun Committee)

  • Support Marketing with occasional project tasks

  • Provide administrative support including scanning, filing, time clock updates, and HR recruitment tasks

  • Maintain cost-effective practices related to facility operations

  • Perform other duties as assigned
