Commercial Construction Project Administrator Supporting Project Success Through Contract, Communication & Accounting Excellence
The Commercial Construction Project Administrator plays a vital role in supporting the Project Manager and ensuring the smooth execution of construction projects. This position is responsible for organizing contracts, coordinating with clients, communicating with subcontractors, monitoring project progress, and providing comprehensive administrative support. A significant portion of this role involves accounting-based tasks and financial management, requiring a detail-oriented individual with exceptional organizational and communication skills.
Project Administration
Provide administrative support to Project Managers throughout the lifecycle of commercial construction projects
Organize and maintain project documentation, including contracts, change orders, permits, and compliance records
Track project schedules, milestones, and deliverables
Assist with bid packages, subcontractor documentation, and project close-out processes
Communication & Coordination
Serve as a liaison between project managers, subcontractors, vendors, and clients
Coordinate meetings, prepare agendas, and document meeting minutes
Follow up on project tasks and ensure deadlines are met
Maintain clear and professional communication with internal and external stakeholders
Accounting & Financial Support
Assist with accounts payable and accounts receivable related to projects
Process subcontractor invoices and track job cost allocations
Support budget tracking and cost reporting for ongoing projects
Assist with payroll documentation and expense tracking related to project work
Contract & Compliance Management
Maintain subcontractor agreements, insurance certificates, and compliance documentation
Track lien releases, permits, and project compliance requirements
Ensure project files are complete, organized, and audit-ready
2+ years of administrative experience, preferably in construction, engineering, or a related industry
Experience with accounting functions such as AP/AR, invoicing, or job cost tracking preferred
Strong organizational and document management skills
Excellent communication and interpersonal abilities
Proficiency with Microsoft Office (Excel, Word, Outlook); construction management software experience is a plus
Ability to manage multiple projects and deadlines in a fast-paced environment
