The Customer Service Coordinator supports a fast-paced manufacturing operation by managing incoming customer inquiries, preparing accurate quotes, coordinating pricing, scheduling production or service activities, and entering essential data and work orders into internal systems. This role bridges communication between customers, sales, and production teams to ensure orders move smoothly from request to completion.
Serve as the primary contact for incoming calls from customers, distributors, and vendors
Provide product information, lead times, and order status updates
Collect technical or specification details needed for accurate quoting
Prepare quotes based on customer requirements, bill of materials, and established pricing structures
Verify material costs, labor estimates, and production timelines with internal teams
Maintain updated pricing sheets and communicate changes to customers
Schedule jobs, service work, or production runs based on capacity and customer deadlines
Coordinate with production supervisors, planners, and logistics to ensure on-time delivery
Communicate schedule changes or delays promptly and professionally
Enter customer orders, specifications, and revisions into ERP or manufacturing systems
Create, update, and close work orders with high accuracy
Maintain organized digital records for traceability, compliance, and reporting
Work closely with sales, engineering, production, and shipping teams to resolve issues
Support continuous improvement efforts related to workflow, communication, and customer satisfaction
Assist with administrative tasks such as documentation, reporting, and order tracking
Experience in manufacturing, production support, or industrial customer service
Strong understanding of quoting, order processing, or ERP systems
Excellent communication and problem-solving skills
High attention to detail and accuracy in data entry
Ability to manage multiple priorities in a fast-moving environment
Proficiency with office software and manufacturing systems (ERP/MRP preferred)
Familiarity with manufacturing terminology, processes, or materials
Comfortable reading basic drawings, specs, or work instructions
Strong sense of urgency and ownership
Team-oriented with a customer-first mindset
