EHS Administrative Assistant (12-Week Contract)

Schedule: Full-Time
Duration: 12-Week Contract
Location: Onsite

We are seeking a highly organized EHS Administrative Assistant to support Environmental, Health, and Safety operations during a 12-week contract assignment. This role plays a key part in maintaining accurate records, processing invoices and purchase orders, and ensuring administrative workflows run efficiently.

The ideal candidate is detail-oriented, comfortable working with internal systems, and able to manage multiple administrative tasks in a fast-paced environment.


Key Responsibilities

Invoice Processing

  • Review and verify vendor invoices for accuracy and completeness

  • Match invoices with purchase orders and supporting documentation

  • Enter and process invoices in company systems in a timely manner

  • Track approvals to ensure prompt payment processing

  • Maintain organized invoice records for audit and reporting purposes

Purchase Requisitions

  • Enter purchase requisitions accurately into internal systems

  • Verify pricing, quantities, vendor information, and account coding

  • Monitor requisition status and coordinate with purchasing as needed

Purchase Order Support

  • Maintain and track purchase orders within the EHS database

  • Coordinate purchase order approvals with internal stakeholders

  • Ensure documentation is complete and properly filed

Administrative & Clerical Support

  • Maintain organized electronic and physical filing systems

  • Perform data entry, document management, and recordkeeping

  • Assist with reports, spreadsheets, and administrative tracking

  • Respond to internal emails and requests related to EHS documentation


Qualifications

  • High school diploma required; Associate’s degree in Office Administration or related field preferred

  • 1+ year of administrative or clerical experience

  • Strong written and verbal communication skills

  • Proficiency with Microsoft Office (Excel, Word, Outlook)

  • Experience working with ERP systems (such as JDE or SAP); IFS experience a plus

  • Experience processing purchase requisitions, purchase orders, and vendor quotes preferred

  • Legally authorized to work in the United States
