Overview

We are seeking a skilled and reliable Accounts Payable (AP) Accounting Clerk to join our growing team. In this role, you will be responsible for processing and paying a company’s bills and invoices accurately and on time. You will reconcile statements, manage vendor relationships, resolve discrepancies, and maintain detailed financial records. This position is ideal for a highly organized individual with strong attention to detail who thrives in a fast-paced office environment.

Key Responsibilities

  • Receive and verify expense reports and invoices; reconcile reports with account balances and office records.
  • Facilitate vendor payments, including verifying federal ID numbers, reviewing purchase orders, and resolving discrepancies.
  • Process weekly check runs and ensure timely payments.
  • Credit outstanding obligations upon payment and identify discount opportunities.
  • Issue purchase order amendments or stop-payment orders as needed.
  • Reconcile monthly statements and transactions; assist with accounting records and ledgers.
  • Manage petty cash documentation and distribution.
  • Calculate and report sales tax based on paid invoices.
  • Perform other related duties as assigned.

Required Qualifications

  • Minimum 2 years of accounts payable experience.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ability to quickly learn accounting software programs like QuickBooks or SAP.
  • Strong organizational skills and excellent attention to detail.
  • Effective verbal and written communication skills.
  • Ability to work independently, handle sensitive financial data, and meet tight deadlines.
  • Understanding of basic accounting principles and familiarity with federal and state accounting regulations.
  • Must pass pre-employment drug test and background check.

Education

  • High school diploma or GED required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field is a plus.

Physical Requirements

  • Ability to sit, stand, and walk throughout the day.
  • Ability to occasionally lift materials up to 20 pounds, reach, bend, stoop, and perform repetitive motions.
  • Visual acuity for reviewing documents and prolonged computer use.

Working Conditions

  • Professional office environment with occasional entry into manufacturing or warehouse areas.
  • Must adhere to safety protocols and wear required PPE when in production areas.
