The Assistant Administrator / Accountant supports the operational, financial, and administrative functions of a professional services organization, with a strong focus on internal billing operations and revenue cycle management. Working closely with leadership and administrative staff, this role helps ensure efficient day-to-day operations, accurate financial reporting, regulatory compliance, and strong organizational performance.

This position also plays a key role in financial analysis and reporting, utilizing internal data systems to develop operational insights, reporting dashboards, and performance metrics to support leadership decision-making.

Key Responsibilities

Operational Support

  • Assist with day-to-day administrative and operational functions.
  • Support scheduling coordination and staffing logistics.
  • Help oversee office workflows to ensure operational efficiency and compliance with internal policies.

Financial & Business Operations

  • Support internal billing processes, coding coordination, and collections activities.
  • Monitor operational performance indicators and productivity metrics.
  • Assist leadership in identifying trends and opportunities to improve financial and operational performance.

Accounting & Payroll

  • Assist with accounting functions including expense tracking, invoice processing, and monthly financial reporting.
  • Support payroll processing, including compensation reconciliation and payroll audits.
  • Learn and assist with quarterly tax reporting and payroll-related compliance.
  • Coordinate with external accounting partners and financial advisors as needed.

Data Analysis & Reporting

  • Utilize internal billing and operational systems to extract and analyze data.
  • Develop usage reports, operational dashboards, and financial summaries for leadership.
  • Analyze workflow efficiency, utilization patterns, and operational trends.
  • Present data insights that help leadership improve performance, productivity, and financial outcomes.
  • Take initiative in developing new reporting tools and analytical processes.

Human Resources & Administrative Support

  • Assist with recruitment coordination, onboarding processes, and personnel documentation.
  • Support payroll administration and benefits coordination.
  • Maintain employee records and assist with HR compliance requirements.
  • Provide support with staff development initiatives and performance review processes.

Qualifications

  • Bachelor’s degree in Business Administration, Accounting, Finance, or related field preferred.
  • Experience with accounting, financial reporting, payroll, or administrative operations strongly preferred.
  • Strong analytical skills and the ability to work with large datasets to generate meaningful insights.
  • Proficiency with spreadsheets and data analysis tools.
  • Strong organizational, communication, and problem-solving abilities.
  • Ability to work independently, take ownership of projects, and develop new reporting and analytical processes.
