Key Responsibilities

Customer Service

• Answer, screen, and route incoming phone calls and emails.
• Greet and assist clients and visitors in a professional, friendly manner.

Administrative Support

• Maintain and update client databases, including scanning, filing, and organizing records.
• Assist agents with administrative tasks and general office needs.

Scheduling & Coordination

• Schedule client appointments, consultations, and internal team meetings.
• Manage calendars to ensure efficient time management for the agency.

Office Operations

• Process, sort, and distribute incoming and outgoing mail.
• Monitor office inventory and order supplies as needed to maintain daily workflow.

Document Management

• Draft, edit, and proofread correspondence, reports, and insurance-related documents.
• Ensure accuracy and compliance in all paperwork and digital files.

Requirements

• High school diploma or equivalent.
• Previous office experience; insurance industry experience preferred.
• Strong written and verbal communication skills.
• Proficiency with Microsoft Office (Word, Excel, Outlook) and general data entry.
• Excellent organizational skills and attention to detail.
