Position Overview

Our client—a growing start‑up—is seeking a Bilingual Office Manager who is organized, energetic, and ready to grow into a key role. This is an excellent opportunity for entry‑level candidates or recent graduates who want to gain hands‑on office, administrative, and customer‑facing experience. The ideal candidate is bilingual in English and Spanish, enjoys helping others, and thrives in a dynamic workplace.

You will learn how to run office operations, manage a front desk, communicate with customers, and help build a clean, efficient, and welcoming start‑up environment. Training and support will be provided.


Key Responsibilities

Front Desk, Reception & Phone Support

  • Welcome visitors and clients with professionalism and a friendly attitude in both languages.
  • Answer and route incoming phone calls; provide basic bilingual assistance.
  • Maintain a clean and organized reception area.

Start-Up Office Organization & Upkeep

  • Help organize and maintain a neat, efficient start‑up office environment.
  • Assist with setting up workstations, supplies, storage systems, and light office cleaning.
  • Support the team with office improvements and day-to-day operational needs.

Administrative Support

  • Assist with scheduling, data entry, document preparation, and general office tasks.
  • Maintain digital and physical filing systems and help keep information organized.
  • Support team members with meeting coordination and occasional event preparation.

Bilingual Communication

  • Translate simple emails, messages, or documents between English and [Second Language].
  • Provide basic bilingual support for customers, employees, and visitors.
  • Assist leadership with bilingual communication as needed.

Staff & Customer Support

  • Help with onboarding tasks and collecting employee documents.
  • Provide friendly in-person, phone, and email assistance to staff and clients.
  • Collaborate with leadership to ensure a positive office experience for everyone.

Basic Financial/Operational Assistance

  • Support invoice processing, expense tracking, or simple bookkeeping tasks (training provided).
  • Assist with coordinating vendors, service providers, and IT support.

Ideal Candidate

No prior office management experience is required. We welcome applicants who are:

  • Bilingual in English and Spanish
  • Friendly, positive, and eager to learn
  • Organized and able to manage multiple tasks
  • Comfortable in a fast‑paced environment
  • Able to take initiative and pitch in wherever needed
  • Recent graduates or candidates looking to begin their administrative career

Preferred (Not Required)

  • Bachelor's degree
  • Familiarity with Microsoft Office or Google Workspace
  • Previous customer service, retail, or hospitality experience (transferable skills)

Work Environment

  • On-site role in a growing, collaborative start‑up office
  • Includes hands-on tasks such as organizing, tidying, and restocking supplies
  • May involve occasional errands and light lifting (up to 20 lbs)
