Salary: $50,000 to $60,000

Our exclusive and growing client, a commercial lighting agency, is currently looking for a confident and well-spoken Office Administrator to join their team on a full-time permanent basis. 

***This is a fully in-office position (not hybrid / remote).***

Required skills and qualifications:

  • 2-3 years’ experience as an Administrative Assistant or Office Coordinator
  • Must have in-depth knowledge of various software programs (Microsoft Word, Excel and PowerPoint)
  • Technically and technologically competent, especially with electronic and virtual meeting platforms
  • Demonstrate a high degree of professionalism and discretion; maintain confidentiality, be respectful and diplomatic
  • Strong initiative and ability to work independently with minimal supervision
  • Strong prioritizing and multi-tasking; adaptability to changing priorities
  • Highly self-motivated with a positive attitude
  • Strong analytical thinking, judgment, and problem solving skills
  • Must be flexible and adaptable – this is not a structed position and will have some undefined responsibilities

Duties may include but are limited to:

  • Assist the Executive Assistant with ad hoc administrative tasks, providing support and acting as a back-up during absences
  • Provide general office coordination and support, including filing, scanning, and other office duties as assigned
  • Maintain and manage office supplies, food/fridge inventory, and catering arrangements
  • Coordinate logistics for team and client appreciation events, retreats, and meetings, including catering and venue arrangements
  • Arrange emails, out-of-office notifications, and assist with inbox management, directing inquiries as appropriate
  • Update and maintain event calendars, internal newsletter, and various spreadsheets to ensure accurate records and information
  • Respond to RFIs and provide related administrative follow-up
  • Support various departments (Accounting, Human Resources, Project Management) with administrative tasks as needed
  • Act as a liaison between business units and departments to facilitate communication and workflow
  • Provide customer service support as required

Monday to Thursday – 8:00am to 4:30pm | Friday – 9:00am to 3:30pm

Salary: $50,000 - $60,000 per year depending on experience

Location: West end
